Getting Started

Welcome to FieldBolt. This guide will walk you through every screen and feature so you can spend less time clicking and more time on the truck. Whether you're a solo plumber or running a 10-person HVAC crew, FieldBolt is built to fit the way trade shops actually work.

Your First Tour

After login you land on the Dashboard. The left sidebar is your main navigation — Dashboard, Bids, Jobs, Customers, Calendar, Crew, Invoices, Analytics, Settings. The top header shows your shop name, plan badge with usage (like “Pro · 42/2000”), and your profile menu. Every screen follows the same layout so nothing is more than 2 clicks away.

Understanding Your Dashboard

Your dashboard shows the health of your shop at a glance. Six stat cards track the metrics that matter:

Active Jobs

Jobs currently scheduled or in progress

Pending Bids

Bids sent but not yet accepted

Win Rate

% of bids won vs sent over last 90 days

Revenue

Total invoiced amount this month

Expenses

Materials + labor + overhead this month

Net Profit

Revenue minus expenses, month to date

Four big buttons for the stuff you do every day: New AI Bid, Add Customer, View Calendar, and Analytics. Below that: Recent Bids and Upcoming Jobs so you know what's on deck today and tomorrow.

Creating Your First Bid

This is the heart of FieldBolt. A great bid takes about 90 seconds from click to send. Here's every step:

Navigate to Bids → New Bid

Click Bids in the sidebar, then the orange New Bid button in the top right. You can also use the Quick Action on the dashboard.

Search or create a customer

Start typing a name, phone, or email — the typeahead searches across all 500+ customers instantly. If they don't exist yet, click 'Create new customer' at the bottom of the dropdown and fill in their info inline. No context switch.

Fill in job details

Title (e.g. 'Kitchen Plumbing Remodel'), trade (plumbing/HVAC/electrical/etc), description, and service address. The address can be pulled from a past job for repeat customers.

Get Smart Questions

Before the AI estimates anything, it asks 3–5 clarifying questions specific to the trade and scope. Example: 'Is the kitchen on a slab or crawlspace?' Answer these, and the AI estimate gets dramatically more accurate.

Review the AI-generated estimate

In under 60 seconds you get a complete bid: materials with quantities, labor hours with crew size, applied markup, and a professional summary. Each line shows unit cost and extended cost.

Edit materials and labor inline

The AI is 85%+ accurate but you know your trade. Click any line to edit quantity, unit cost, or description. Add or remove items with one click. Totals recalculate instantly.

Apply a safety margin

Choose 10% / 20% / 30% to pad for unknowns. Most shops apply 10% for simple repairs and 20% for remodels. The margin adds to your materials line, not your labor.

Choose detailed vs summarized view

Detailed shows every line item and your cost breakdown — great for commercial. Summarized shows scope + total — better for residential so customers don't fixate on individual items.

Save the bid

The bid saves as a Draft. From there you can send it via email, download as PDF, or mark it as sent and move on.

Pro tip

The more detail in your description, the better the estimate. “Replace kitchen faucet” gets a generic bid. “Replace kitchen faucet, existing shutoffs leaking, 1950s galvanized supply lines need swap to PEX, 30 min drive from shop” gets a bid that nails it.

Managing Customers

Your customer list is the core of your shop. FieldBolt handles thousands of customers without breaking a sweat.

  • Typeahead search across 500+ customers. Search name, phone, email, or address. Results appear as you type.
  • Add a new customer inline. No separate form — create them from the bid flow in 10 seconds.
  • Multiple addresses per customer. Repeat customers have multiple job sites — FieldBolt tracks them all and lets you pick from past addresses.
  • Customer detail page. Full job history, every bid sent, lifetime value, and notes all on one screen.
  • CSV import / export. Bring your existing customer list from QuickBooks, Jobber, or Excel. Available on the Team plan.

AI Superpowers

These are the features that separate FieldBolt from every other bid tool. Most require Pro or Team plans.

Bid Quality Auditor

Pro+

Before you send a bid, the auditor scans for missing items, pricing outliers, and scope gaps. It flags things like 'No permit line — this job likely needs one' or 'Labor hours seem low for a repipe of this size.'

Negotiation Coach

Pro+

When a customer counters your price, AI gives you 3–5 response strategies with exact wording. 'Offer a smaller scope', 'justify with local labor rates', 'value-add the warranty'. Works for text, email, and in-person.

Local Store Pricing

Pro+

Home Depot and Lowe's prices for your zip code, refreshed regularly. Your bids reflect the actual price your apprentice will pay on the way to the job.

Material Alternatives

Pro+

Every material line suggests a budget swap and a premium swap. Customer wants to save $200? Click to swap PEX for CPVC. Want a $5k upsell? Swap standard faucet for Moen Arbor.

Scheduling & Crew

Crew management in FieldBolt is built for real shops — not just a static list of names.

  • Crew list: add, edit, or delete crew members. Track skills, hourly rate, and phone.
  • Edit details: click any crew member to update their role, license, or pay rate.
  • Schedule calendar: mark days off — vacation, sick, training, or personal. The scheduler respects these when suggesting availability.
  • Click to mark, Save to commit: just tap days on the calendar, pick the category, then hit Save.
  • Earliest available date: FieldBolt calculates the soonest your crew can start any given job based on current schedule + days off + job size.
  • Route planning: one click opens Google Maps with all of today's job addresses in the optimal order.

Job Lifecycle

Every job flows through four states: Scheduled → In Progress → Completed → Invoiced. You can view them as a Kanban board (1 column on mobile, 4 columns on desktop) or as a table.

  • Job detail page: crew assigned, live expenses, margin tracker, site checklist — one screen has it all.
  • Add expenses during the job: materials, tools, permits, subcontractors. Crew can snap receipts on mobile.
  • Live margin tracking: the moment actual costs exceed estimated costs, you get a yellow warning. If profit dips below 10%, it turns red.
  • AI-generated job site checklist: trade-specific, auto-generated from the bid scope.

  • One-click generation: on a completed job, click “Create Invoice” — line items auto-populate from the bid.

FieldBolt has two roles. Both see the same data (one shared shop), but with different permissions.

API Access (Team Plan Only)

Integrate FieldBolt with your own tools, QuickBooks, or custom dashboards.

  • Settings → API Keys to generate a key.
  • Bearer token authentication in every request.
  • Key is shown ONCE on creation. Copy it immediately and store it somewhere safe.
  • Revoke keys anytime if they're compromised.

FAQ

How accurate are AI estimates?

FieldBolt averages 85%+ accuracy across plumbing, HVAC, electrical, roofing, and general contracting. Accuracy goes up when you use Smart Questions and provide detailed job descriptions.

What if the AI generates wrong materials?

Every line item is fully editable. Change quantity, unit price, description, or delete it entirely. Your edits train the model to be more accurate for your shop over time.

Can I export my data?

Yes. CSV export of customers, bids, jobs, and invoices is available on the Team plan. Starter and Pro can export individual invoices and bids as PDF.

What if I lose internet on a job site?

FieldBolt currently requires a connection. Offline mode for mobile is on our roadmap for Q3 2026.

How are local prices sourced?

AI uses regional market data refreshed regularly for major chains (Home Depot, Lowe's, Ferguson) at your zip code. Actual in-store prices may vary.

Can customers see my cost breakdown?

Only if you choose 'Detailed' bid mode. 'Summarized' mode shows scope + total only. Most residential shops use Summarized; commercial shops often need Detailed.

How do I handle negative reviews?

Use the AI follow-up to request reviews from happy customers first — build a cushion of positives. For negatives, respond publicly, offer to fix, and take it offline.

Best Practices (Pro Tips)

  • Always use Smart Questions before generating estimates — accuracy jumps 15–20%.
  • Apply a 10–20% safety margin on materials for unexpected costs. 30% for gut remodels.
  • Review AI estimates for your specific trade accuracy — edit the lines you know best.
  • Use Summarized mode for residential customers, Detailed for commercial.
  • Share completed projects to social media immediately — that's when the leads are hottest.
  • Enable payment reminders at day 7, 14, 21. Don't wait 30+ days to follow up.
  • Add crew days off in advance so the scheduler respects them when suggesting dates.
  • Re-run Bid Quality Auditor before sending — it catches missing permits, low labor hours, and scope gaps.
